If you’ve ever spent your off hours catching up on progress notes, you know the toll documentation can take. It’s one of the most necessary (and most exhausting) parts of running an insurance-based practice. Accurate, compliant, and detailed notes are critical for meeting legal requirements, protecting against audits, and ensuring continuity of care. But, they often creep into evenings, weekends, and the short breaks between sessions.

That’s why we built AI-assisted notes into our free EHR for therapists to make that load lighter. Its purpose is not to replace your expertise, but to handle the repetitive, administrative parts of documentation so you can focus on care. Plus, using our templates comes with clawback protection.

A note-taking tool, designed for what’s at stake

Our hope is to banish the days of using generic templates that leave you to interpret insurance standards yourself, adding stress and time to your day spent writing notes. We built ours to do the opposite: to save you time, safeguard your work, and support your care.

Here’s how it works:

  1. You hold your session with your client—our AI notes feature doesn’t listen in.
  2. When you sit down to complete your note, open the note tool and write in a brief session summary.
  3. From the summary, you can choose to generate a compliant note with AI assistance.
  4. Once generated, you can edit, expand, or rewrite the note entirely.
  5. Submit your note with peace of mind, knowing that we offer clawback protection when you use Headway’s compliant templates.

Why we made it free

Many EHRs charge extra for “advanced” features like AI-assisted notes. We don’t. We believe that the tools you need to document care shouldn’t hide behind a paywall.

Headway’s business model is simple: we only succeed when our providers do. We’re on a mission to create a better mental healthcare system for all, which is why we take on the red tape and work to help you navigate insurance as quickly as possible.

Our aim is to help you get paid for your work — not upsell software to you. That alignment means we can reinvest in tools that remove friction from your workflow — without adding new costs.

Designed with — and for — providers

We built AI-assisted notes in collaboration with the people who know documentation best: therapists, prescribers, and insurance experts. Every template, safeguard, and shortcut reflects real feedback from providers in the field.

You decide how and when to use it. Some providers rely on AI notes daily; others turn it on only for certain session types or skip it altogether. The tool is optional, flexible, and built to support — not dictate — your workflow.

And we’re not done. Your input shapes what comes next, from treatment plan support to note customization. We’ll keep listening, so the tools we build evolve with the realities of your practice.

Take back time and stay protected

Documentation will always be part of running an insurance-based practice, but it doesn’t have to drain you. With AI-assisted notes, you can capture your sessions quickly, keep your documentation compliant, and protect your time for the work with clients. In fact, during beta testing, AI-assisted notes cut documentation time by 66 percent for providers

Whether you use it every day or only when you need an extra hand, our goal is the same: to help you spend less energy on paperwork, and to free up more time for your clients — or yourself.

Try AI-assisted notes to see if they’re right for you.

No cost, no commitment, just tools to make documentation easier.
