Understanding your group practice type
Before getting started with Headway, it’s important to understand your group practice type, as the size of your practice typically determines the onboarding process.
Starting your group practice from scratch
Headway welcomes group practices of all sizes. If you and at least one other colleague are working together, your 2-person group practice could still qualify for Headway. One of our group practice consultants can even support you with expanding your insurance credentials and growing your client base when you start a group practice with Headway.
Starting with an existing group practice
If you run a larger practice, Headway can support you in the credentialing process — whether you exclusively see private-pay clients and want to expand to insurance or simply want to get started with more insurance networks.
Planning & admin setup
Your group admin is the main point of contact who will handle most of your operations with Headway. If you haven’t already, you may decide to hire an administrative professional (such as a scheduler, biller, or office manager) before starting a group practice.
On Headway, administrative access can vary depending on your preferences. To set up an administrator on the platform and start getting paid, you’ll need all your business details, including your EIN, bank account information, and certificate of insurance.
You’ll also need to verify your identity on Stripe, Headway’s payment platform. Once all your details are confirmed, you can start getting paid on Headway — and taking more steps to grow your business.

Credentialing & account creation
Your group practice consultant will set up your Headway account based on your administrative preferences. Once your account is set up, we’ll start the credentialing process. All of your clinicians need to fill out one easy intake form — a one-stop application for all the insurance payers we work with.
Clinician onboarding & role assignments
Some group practices choose to maintain their own EHR system, while others take advantage of Headway’s EHR features.
With Headway’s platform (called Sigmund), you can manage every aspect of your practice’s experience in Headway’s EHR system. Choose how much access each provider has, from fully independent to fully admin-managed.
Providers without full admin rights (called Sigmund Lite) can still access:
- Calendars with full scheduling access and ability to confirm session details
- Client list with the ability to add clients
- Messaging portal
- Insurance status tab
- Profile settings, including photo, name, specializations, languages, highlights, bio, education, and demographics
- Address settings and ability to add a practice location
- Individual provider intake form
Users with admin permissions can access:
- Calendars with full scheduling access and ability to confirm session details
- Client list with the ability to add clients
- Messaging portal
- Insurance status tab
- Profile settings (including photo, name, specializations, languages, highlights, bio, education, demographics)
- Address settings and ability to add a practice location)
- Payments tab, including payment date, amount, and the client it's for
- Ability to choose between being shown in search versus hidden in search
- Intake session length settings
- Client age range settings
- Booking preferences (including defaulting to phone consults or appointments by specialization)
- Billing settings (e.g., cancellation policy, bank account, and ID verification)
- Account settings (including contact email and phone number)
- Rates
Admin users will have access to financial information and access to the calendars/information of other providers in the group.
Financial tools & first sessions
On Headway, you can easily submit and manage all session claims across your entire team — all in one place, and in minutes. This group-specific Headway tool rolls up every provider's session on the calendar, allowing you to bill for multiple sessions in one click.
As with Headway solo providers, group practices get paid as follows:
- Sessions confirmed on the 1st–15th of the month are paid to you on the last day of that month.
- Sessions confirmed on the 16th–last day of the month will be paid to you on the 15th of the next month.
Group practices will always have payments from Headway funneled into one user's (typically the group owner’s) bank account. The smaller details of what you pay your providers is up to you.
To make budgeting and reporting easier, you can export payment data for each bi-monthly pay period. Users with admin permissions can easily download and import data into your practice’s own payroll system, including Gusto, ADP, and more.
